Who we are

Rubbish Collection Medway Ltd ("we") is the data controller for personal data collected through this website and our collection service. Our registered address is Unit 4, Medway City Estate, Rochester, Kent ME2 4DP. You can reach us at hello@rubbishcollectionmedway.co.uk or 01634 907 213.

What we collect

We collect only what we need to price and complete a collection: your name, phone number, email address, collection address or postcode, a description or photographs of the waste, and payment details where you pay by card or transfer. For trade accounts we also hold a billing contact and company details.

We do not collect special category data, and we do not ask for information about your household beyond what is needed to access the property and load the waste.

Why we process it, and our lawful basis

Quote enquiries and bookings are processed to perform a contract with you, or to take steps at your request before entering one. Waste transfer notes and consignment records are processed to comply with a legal obligation under the Environmental Protection Act 1990 and associated waste regulations.

Where we send you occasional service updates by email, we do so on the basis of legitimate interests as an existing customer, and every message contains a one-click unsubscribe.

How long we keep it

Waste transfer notes and consignment records are retained for a minimum of two years, as the regulations require. Accounting records are retained for six years to satisfy HMRC. Quote enquiries that do not convert are deleted after twelve months. Job photographs are deleted after twelve months unless they form part of a clearance record you have asked us to keep.

Who we share it with

We do not sell or rent your data, and we do not pass your details to other clearance companies or lead-generation networks. We share the minimum necessary with our payment processor, our accountant, and the permitted transfer stations that receive your waste — the latter receive the waste description, not your contact details, except where a transfer note legally requires the producer's name and address.

If the Environment Agency or a Kent local authority makes a lawful request in connection with a duty-of-care or fly-tipping investigation, we will provide the relevant transfer records.

Cookies and analytics

This site uses only the cookies necessary to make it work, plus aggregate analytics that tell us which pages are read. We do not run advertising cookies or cross-site tracking pixels. You can block cookies in your browser without losing any functionality on this site.

Your rights

You have the right to be informed, of access, to rectification, to erasure, to restrict processing, to data portability and to object. To exercise any of these, email us and we will respond within one calendar month. Where a legal retention obligation applies — waste transfer notes in particular — we will explain why data cannot be erased before that period expires.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Security

Enquiry data is held in access-controlled systems with multi-factor authentication. Payment card details are handled entirely by our payment processor and are never stored on our systems. Crew devices carry no customer data beyond the day's job list.
